We take recurring office work off your team.
Aldea Operations is two people in Bend. We set up the software your firm already pays for, run the work every week, and check it before anything leaves your office. One flat monthly fee per job.

What we hear from owners
- Someone senior spends hours retyping the same documents into three systems.
- Month-end runs late, every month.
- Our software doesn’t talk to each other.
- Only one person knows how it gets done.
Each of these is a recurring job. We take them on one at a time.
Work we take on
Examples from the kinds of firms we work with. If a task repeats every week and follows clear rules, ask.
| For | The job | What changes |
|---|---|---|
| Advisory firms | New-client paperwork | Every document a prospect sends is named, filed and entered into your systems within a business day. |
| Advisory firms | Six-month updates | Requests for new pay stubs and tax forms go out on schedule, get followed up, and land in the right folder. |
| Trades | Supplier bills | Each bill is coded to the right job every week, and unpaid invoices are chased. |
| Restaurants | Ordering | Weekly orders are drafted from what sold, and deliveries are checked against the invoice. |
| Any office | New hires | Paperwork, accounts and first-week setup run from one checklist instead of memory. |
| Any office | Procedures | How recurring tasks are done gets written down, so it no longer lives in one head. |
How a pilot works
One job at a time, measured from the first week.
Week 1
Look
Your team notes how long the task takes in a normal week. We agree in writing what the work should save.
Week 2
Build
We set it up inside the software you already use. Finished within a week.
Week 3 on
Run
We run it as a pilot until the first piece of work is complete. A person on your team approves anything that goes out.
Then
Decide
We compare the hours with week one, together. You decide whether we keep going.
How pricing works
- The fee
- One flat monthly fee per job, set from the hours the work gives back.
- The terms
- No hourly billing and no long contract. Either side can stop with 30 days’ notice.
- The timing
- We agree the price in writing before the pilot ends, so there are no surprises.
Your clients’ information
What we do on every engagement, whatever your industry.
- We sign an NDA before you share anything.
- We work inside your systems, on named logins you create and can switch off at any time.
- We don’t keep copies of your clients’ information.
- If a task uses an AI tool, it runs on a business account in your firm’s name, with training on your data turned off.
- Only the two of us have access, with two-step sign-in on every account. No subcontractors, no offshore staff.
- A person at your firm approves anything before it leaves the office.
- If something goes wrong, we tell you within 72 hours.
- When we stop working together, we remove our access and delete our notes.
